Minutes of 87th AGM (2021)
 Last year’s minutes passed as true and accurate record by D. Jones and A. Povey.  
 
Financial Report 
Financial report compiled by Lonsdale Marsh, independently of the Board. 
This service is provided free of charge. The President expressed the Clubs gratitude for this work. 
The main points outlined in their report delivered by Julie Lang in N. O’Donovan’s absence. 
After reviewing the ORUFC accounts for the year to 30th April 2022 the following points should be noted: - 
  
With the impact of the COVID19 pandemic this year’s figures are not a direct comparison with the previous year, when the club was closed for large periods of time due to lockdown and restrictions. 
  
The club has generated a loss for the year of £44,840 with the main reasons being a reduction in grants received as we moved out of the pandemic. There was also increased expenditure and costs incurred as the club reopened, but turnover was still impacted as the club transitioned to normal activity levels. 
  
The club’s balance sheet is satisfactory. However, it should be reported that the club’s cash reserves have reduced significantly from £137,972 to £92,557. This was due in large part to the purchase of fixed asset additions totalling £26,559. The main items being £9,377 spent on outdoor furniture, £9,452 spent on a new awning/barrier with signage and £5,910 for a new LED scoreboard. As well as this the club spent a considerable amount on new playing kit and equipment for the club’s teams/players, resulting in ‘rugby kit and sports equipment’ expenditure totalling £54,388 for the year.  
This is in fact 15% higher than the membership fees received by the club of £47,255. 
  
The majority of sponsorship income invoiced in the year actually related to May 2022 and beyond. This has been deferred resulting in total deferred income for the year of £9,591, which will be brought into the club’s 2023 accounts. 
  
As we move into the current year and normal activity continues the club should look to maximise income and monitor costs. The next set of accounts will give a more direct comparison of income and spending. 
 
Chairman’s Report 
New board members in place following 2021 AGM.  
However, Business Development Officer and Director of Rugby resigned during the season. 
We hope to fill both positions at this AGM
Board meetings continued to be held at Currency Matters HQ 
Several applications for RFU & WLBC grants were submitted this season and several were successful.  The funds from which have allowed us to progress the improvement of facilities. 
A new Physiotherapist, Sean Faulkner, has been recruited. 
Centenary Committee for 2026 events has met and terms of reference agreed. 
ADM merged with RFU creating 4 NW divisions (levels 7-10). We will play at Level 8 in 2022-23. 
RFU now require ALL 15 a side fixtures to be declared and recorded on GMS to qualify for international tickets allocation – this was a mammoth task, that has now been completed. 
Clubs Policies and Procedures have been reviewed by external HR company, Brown Owl Associates, to ensure we are up to date with current requirements. 
Massive thanks to the Board and members for the hard work that delivered a successful season. 
 
Chair of Rugby 
Following the DoR resignation, Danny Saunders ran through main points of the season: - 
Returned to scrums, mauls and other contact restrictions started 19 July. 
Senior teams played adaptive rugby laws in 2 inter club games, playing Liverpool Titans and Parkonians in the Taff Cup. 
1st & 2nd Senior men’s teams played Southport, with the first team gaining a notable victory. 
First team finished 10th in the ADM Lancashire premiership league. 
2nds & 3rds both finished 2nd in the Halbro Division 3 North and Division 4 west respectively. 
The highlight being the 3rd team winning the Halbro Shield at Vale of Lune on 7th May. 
 Ben Mitchell left as head coach in March 2022 by a mutual agreement. 
 A new coaching regime was put in place to cover this departure.  Alex Lambie the assistant coach supported by Mark Lang, Dave Gaughan and Danny Saunders all stepped up. 
Alex Lambie left in May to focus on a new role at Sale Sharks and we wish him every success. 
 
First team league structure 2022-23 now confirmed as EFU level 8 Counties 2 ADM North  
 
Ean Quirk recruited as our Community Coach. During the season Ean coached 250 Yr3 – Yr11 boys and girls in our local schools, with Anna O’Malley’s assistance with girls’ rugby
This was a massive achievement and club appreciate the work put into this venture. 
 
Ladies coach, Louise Robinson, resigned in October 2021. Dave Kidd joined as ladies coach in January 2022, with Kai Crowther also coaching from January 2022. 
This report was presented by Kai Crowther: 
Joining the team as assistant coach the team looked strong but suffered inconsistent coaching. Jake Pagan also joined as assistant coach and from our first training session the ladies showed high levels of skill and an unbreakable bond. 
They were always wanting to learn and develop more and the drive to be the best team in the league showed in their enthusiasm for whatever we threw at them.  
Having the Edge Hill Ladies alongside Ormskirk Ladies on match days it was great to see their confidence grow and grow. 
Match stats:  Played 9, won 4, drawn 1, lost 4. 
 
Business Development 
Clubhouse Sponsorship renewal for Designer wear at £500 for April 2022 to March 2023. 
Malthouse Business Park agreed Five Ways sign board for £600 pa for 1 year. 
3-year Sponsorship partnership agreed with St Mary’s School for 22/23 season. 
Canterbury continues as kit and clothing provider for year 2 
 
Communications & Events 
LH presented the aims of this role: - 
Establish and Build a Long-Term Following through online platforms Facebook,  
Instagram and Twitter. (eg. Social/Playing/Senior/MJS/Rugby Community) 
Engagement – Use these communication platforms to engage, communicate, share  
best practices and build relationships with club stakeholders – Sale Sharks. 
Improve Game Attendance – Use social media to engage with our following, and  
update them in real time, news, training, game information, events, etc. 
Use the platform to push our Business Development Strategy and draw in media sponsorships. 
 
Our Engagements are more than 55,000 people this year, whether viewing our media pages, checking in, liking our photos, stories, leaving messages, answering polls, reading our match reports, requests for information, etc. 
 
Events:  
Halloween/ Christmas Jumper Day/ M&J Breakfast with Santa/Green and Blue Day/ Six Nations Match Schedule/Football Events/ Captains Curry Night. 
These events wouldn’t be possible without a group of helpers.  
Again, thank you to everyone who helped with these events during the year. 
Additionally, thanks to Vince for bringing match days to everyone! 
 
Clubhouse 
Regular matches being held at the club on Saturdays and Sundays plus additional social events, Captains Curry Night, Halloween.  Social Edge Hill and Players Socials and MJS Presentations have ensured the bar/club continues to thrive. 
Club continued to be used by Darts, Ukuleles and Slimming World, plus hire of club to local clinical support group for 8 weekly sessions, bringing in additional income for the club. 
Clubhouse refurbishment completed, new flooring and tables and chairs. 
New TV has been a great asset for showing live sporting events at the club 
New scoreboard now fitted and ready for use in the new season. 
Kitchen provided a great food service on Saturdays and Sundays 
Due to the increase in alcohol prices and VAT, there will be a slight increase in bar prices. 
7s tournament held on 18/6/22 


MJS 
MJS section continues to thrive and demonstrate robust growth, due to the continued success of minis and juniors’ recruitment & social media recruitment activity. 
12 active age groups from u5 to u16 
A spectacular season for the u15 group – unbeaten all season, with 6 players selected for the Sales Sharks DPP and having 33 active players in the group 
U16s grew from 4 players to 16 players completing 16 fixtures 
U14s had 3 players selected for Sale Sharks DPP 
U8s completed their first ‘tour’ – to Llandudno. 
44 volunteer coaches actively involved across the MJS section 
 
Safeguarding & Rugby Safe update 
2 x RFU sponsored First Aid Courses in September 2021 attended by 22 members. 
Club Safeguarding Audit for 2021 completed. 
Mental Health course in December2021 attended by 10 members. 
Annual First Aid risk assessment completed. 
Mental Health First Aider course proposed for 2 candidates. 
 
Membership & Registrations 
Currently 396 members and rising.  Subs revenue approx. £45k. 
 Going forward we need to improve guidance on website to make registering an easier process. 
Also, the need to increase the management of Senior registrations. 
This will be addressed by splitting the role into two positions for Senior and MJS. 
 
Rule Changes 
10 The Committee  
Proposal to alter the Club Membership and Registration Officer into two separate positions for Senior and MJS.                                                                                                                                                         Also, to create a Non-Board position of Health & Safety Officer. 
 Both carried unanimously. 
 
39   Dissolution of the Club  
 
In preparation for any future move to change the club status to a Charitable Incorporated Organisation (CIO), it is proposed to alter Rule 39 regarding Dissolution of the Club. 
The current rule states any Dissolution can only be passed at an EGM at which no less than half the members should be present.  
The membership numbers we now have would make 50% members attending almost impossible to achieve and thereby becoming an obstacle to restructure the club. 
The proposal agreed at the meeting was to reduce the number attending to 15% of membership. 
 
This was carried by majority:  31 for, 7 against, 1 abstention. 




Review of the membership categories and a review of the subscription levels.  ince the membership subscription was introduced in 2013 there has been no increase. Due to the increased costs of running the club, teams, energy, provisions, coaching and coach training   it has now found that monthly subscriptions need to be increased.  
The change will take place to subscriptions collected from the 1stSeptember 2022. 
Categories and Annual Subscriptions changes shown in Red 

  1. Senior Playing Member - Over 21 - £18.50 increase to £20.00 
  2. Senior Playing Member - Ladies Over 21 - £11.50 increase to £12.00 
  3. Senior Playing Member under 21 - Plus those in full time education – £6.50 per month (£8.00) or quarterly £24.00 every 3 months  
  4. Non-Playing Members - Social, Pensioner Associated Members - £2.92 increase to £5.00 
  5. Life Members & Presidents & Life Vice Presidents - £0.00 
  6. Mini & Juniors and Colts - 1 player aged 6 and over - £11.50 increase to £13.00 
  7. Mini & Juniors and Colts - 2 + players aged 6 and over - £21.50 increase to £25.00 
  8. Mini & Junior Playing Members - Girls Under 18 and All Players aged 5 and under - £6.50 
  9. Family Subscription – Senior Players and Mini & Junior and Colts Player/s - £30.00 

This was carried unanimously.

Several discussion points raised. 
 
Julie Lang asked the room to thank Dave Jones for the role of referee co-ordinator he has taken on and the positive impression this gives all visitors to our club. 
 
Andy Spencer also gave a vote of thanks to Mark Lang and Norman Hall. 
 
Andy Montrose thanked the Board for their time, dedication, and direction. 
 
200 Club was drawn by Sophie Rogers – Richard Greig was drawn out.
